What is the Candidate Self-Scheduler?
The self scheduler allows employers to select multiple options of days and times for candidates to choose from when booking calls, interviews, video interviews or assessments.
Titles to Note
Job Owner - User who created and published the job.
Event Owner - User who created the event - (eg. call, interview, video interview, assessment).
Interviewer - Collaborators who are added to the job, are added to events as interviewers.
Candidate - Selected candidates to be invited to the event.
Description - This text appears on the scheduling page for candidates.
Event Type - This refers to the next stage of your process (call, interview etc).
Duration - The duration of the event you want to schedule.
When - Choose multiple dates and time options for your candidates.
What Can Scheduler Be Used For?
Schedule calls, interviews, video interviews and assessments.
Can only be used in candidate flow and candidate profile.
How To Use the Scheduler
Step 1 - Employer Creates Event and Chooses Dates and Time Options
The scheduler is used when progressing candidates from shortlist to call, interview, video interview or assessment. You the event owner then select as many options as you wish to give the candidate(s).
Simply select the candidates who wish to progress, use bulk action "progress".
The message modal appears as normal but you now have a scheduler button.
Once open, you can see the candidates added to the event,
Choose the duration of the event.
Choose multiple dates and times for the selected candidates.
By default, all "collaborators" on the job are added to each slot option as an interviewer. You can customise the interviewers in each time slot.
Hit Progress.
Step 2 - Candidate Selects Date and Time
Your candidates will receive your current email template plus a second email with a link to schedule their event.
It is first-come, first-serve. Once a slot is taken, other candidates can no longer book the same slot.
When a candidate chooses and confirms a slot, an email confirmation is sent to the candidate, the job owner and any interviewers on that time slot. Interviewers are also asked to confirm their attendance in their Rezoomo calendar.
Reviewing Scheduled Events
Where do I find the Scheduled Events?
You can find your scheduled events in 2 areas.
Candidate Flow - The event schedule can be found on the "Call, Interview, Video Interview and Assessment" stage in the candidate flow. Here you can see all of the confirmed and pending events for a certain interview stage within a job.
Calander - In your Rezoomo calendar you can see all of the confirmed events you have been added to. see below.
Calendar
In your Rezoomo calendar, you will see all of your scheduled events. You can switch between Month, Week, Day and Agenda pages.
Editing a Scheduled Event
You can only edit a scheduled event from your calendar page. When editing an event you can do the following:
(NB: only event owners can edit events)
Change the date and time of the event.
Change the name of the event.
Assign an event to a new owner - (give ownership and control of the event to a collaborator).
Delete event for all attendees.
